It is the Holiday time of year. (Is it just me, or did 2013 pass-by rather quickly?) Each year at this time, I post this article which demonstrates a few tricks to make your Season’s Greetings letters more joyous, and your documents more visually interesting. Many of you already know the A-B-C basics of manipulating fonts and formatting, and so this will be review.. and loyal readers may remember this one..
Tip of the day: Add some festivity to your documents with fonts and color. MS Word has a lot of features and options built into it that allows for some very creative elements to be added to your correspondence, and is not at all limited to cold, “professional” documents. I’ll use Word for this demo, but you can do this in most text editors, and e-mail programs. Today I’m going to use a hypothetical holiday greeting letter to show how to add some fun. By default, Word sets the font to Calibri at 11 “points” in height. I have typed in my text, to get things started, and will demonstrate using this letter’s “opener”. As it is a header, I have “centered” the text. As you can see, this font and text does not quite convey the joy and cheer and “best wishes” I am hoping to express. In fact, this may as well say, “Memo from Giganti Corp.” Yawn! So first thing I’m going to do is ‘tweak’ the font style, and make some word bigger (louder), to express a less formal tone.
I “highlighted” Season’s Greetings, and used the Font drop-down arrow and selected a cursive font– Lucida Handwriting (explore Word’s various fonts, and find the one you like best). I set the point size to 36. I repeated the process on the second sentence, but set the type smaller.. only 18. I think you’ll agree, this is much more “friendly” than the default’s look. But this is just not Festive enough! Let’s use some color and improve things some more.
I have again “highlighted” season’s greetings to select this font, and then clicked the Font Color button on the Home tab. I then clicked on the little red box in the color-picker. Now season’s greetings is red. I want to alternate letters in green, so I hold down the Ctrl key and use my mouse to “select” every other letter.
I didn’t really like the greens available on the color-picker, so I clicked on “More Colors”….
… and selected a green that contrasted nicely with the red– as the box in the lower right corner shows. This is the result of these steps.
Much more jolly! But, something’s missing…
Let’s add one more thing– a picture of a candy cane. I went on the Internet and found a Royalty-free graphic (though a piece of Clip Art would do just as nicely) and…
Voila! I could ‘go crazy’, and get carried away with adding things here… but I hope you will be able to see by this little demonstration — using only two of Word’s functions — that you are limited only by your own creativity, and that it’s easy to personalize and ’spice up’ your documents. (I should have matched the greens… but ran out of time.. sorry.)

Some thoughts on Office 2007/2010:
I have been using “the new Office” since the beta of Office 2007, and am currently running the beta of 2010. I find the modest improvements in 2010 quite nice, but since I am not doing a lot of “online collaboration”, nor in a true business environment (no cubicle for me), I am not able to leverage all of its advanced features.
I have no trouble with the “new” Ribbon menu bars, and I love being able to preview, and then apply, formatting ‘dynamically’. But – and this is a pretty big ‘but’ here – longtime users of Office (97 – 2003) do not always find the transition to the new menus so… pleasant. Fortunately, Microsoft provides many aids for easing the transition to the newer way, such as the Office 2010 menu to ribbon reference workbooks. There is a learning curve going from Office 2003/older, yes.

How To Make Word Open A Normal Blank Page*
I apologize for so many re-posts lately, but…
Today’s “quick tip” is in response to a reader question, and I think it is one of those that can be helpful to ‘everyone’.
Q: I created a newsletter using Word. I used Segoe Script sized to 16. Now whenever I want to write a new Word document, it is stuck on that setting, and I have to tell it to use Times New Roman, and change the size each time.
It never used to do that. How do I make it like it was before?
A: The answer lies in the fact that when you create a new Word document (File > New > Blank document), Word uses its default “style template”– which is known as Normal.dot (note the “t”, for “template”.)
This “normal” template has the predefined settings we’ve all come to know and love: Times New Roman (font), 12 (pts), Left (Align), Borders, etc.
Somehow, the reader has “Saved” the style they used in the newsletter to the Normal.dot (maybe they selected “Save As”, and then “Template” ? ), or Normal.dot has just gotten corrupted.
There’s two ways (at least) to repair this behavior– the manual way and the automatic way.
1) Create a new default template:
* Open a new blank document.
* Change each setting to how you want your Word docs to look each time (such as Times, 12, Left, etc.).
* Now click “Save As”. Select “Document Template” in the File type box, and type “Normal” (no quotes) in the File name box.
* If warned that Normal already exists, do you want to overwrite the file?, answer “Yes”.
Now, whatever options you’ve selected will be what Word uses when creating a new blank document.
[note: this is how you get rid of Times New Roman for keeps, if you’re a sans serif type.]
2) Automatic replace Normal.dot:
* Use the Search tool to find the Normal.dot file on your hard drive C:\. (Start >Search >Files and Folders)
* In the Results pane, right-click on Normal.dot and select “Rename”. Rename it to anything other than Normal.
* Close, and then restart Word (in some cases, a computer reboot was required)
Word will discover that there is now no Normal.dot, and it will create a new “factory fresh” one for you automatically.

How To Extract Text From Web Pages*
Today’s quick tip was inspired by a reader question. The gentleman used to use an old technique to “print” webpages to text files so that he could edit and incorporate the text into his documents, and he wanted to know if he could still do this, but in a more modern way.
I would like to take a moment here to remind my readers that I do answer questions sent to me; and also that if I believe the question-and-answer will benefit “everyone”, you could very well see it posted here.. like today’s.
Q: How do I copy the text on a webpage to my document?
A: There is actually a couple of different ways to do this, including the old “print-to-file” method that DOS users remember. The trick is to get just the text and information you want, and not all the advertising and hyperlinks and graphics/logos that most webpages incorporate.
1) If all you need is a small portion of text from a webpage, the easiest way to get it from your browser to your word processor is to ‘highlight’ the sentence (or paragraph) on the webpage, press Ctrl+C to Copy, click on the place in your document that you’d like to insert the text and hit Ctrl+V to Paste the selection into your document (you may have to change the font and text size to match the rest of your document’s format).
Sometimes, it can be a little tricky — working in the browser — getting your cursor to change from an arrow (navigation) to the vertical bar and selecting the page’s text. But rest assured that you can ’select’ the text on a webpage. Usually you have to get the point of the arrow very close the edge of the first letter, and make small, gentle mouse movements until the cursor changes. You could also try clicking in an easier part of the text, and use your arrow keys to move the cursor to where you want it.
(As a writer, I simply must express my hope that you will pay some mind to the concept of Copyrights, and original work, and properly attribute your “borrowed” material.)
2) But if you want all the information on the webpage, and you want it to be available as a file you can reference at your leisure, the Copy>Paste method is not the best, and another technique will serve you better.
Some people prefer to download the webpages in a method called “Offline webpages”, which is a whole ‘nother topic. Offline gives you the whole webpage — logos/graphics, links, ads — as if you were connected to the Internet, and this is more info than we need for today’s topic… we just want the text.
In Firefox and the older Internet Explorer 6 (Please, folks; IE 6 is quite probably the most hacked program ever written– update to IE8, or use an “alternative” browser), you can click on the “File” menu on your browser’s toolbar. IE7 users (who haven’t re-enabled the old Menu bar) should click on the “Page” button. Whichever manner you used, now click on “Save As”.
Now the Save As window will open, and here is where we will make our important decisions.
As usual, you will be presented with the ability to select the “where” the file will be Saved, and give it a name. But the primary thing is to select the “Save as type”, so that we will have a file we can use as we want to– in this case, a text file (.txt).
Once the webpage is Saved as a text file, you will be able to Open it with any word processor. And you will be able to edit it to your heart’s content.. and it will be available whenever you need it.
Note: If you decide to Save the webpage as one of the other options in the “file type” (or, made a mistake here) selection, and Save the page as an *.htm,*html file or even a “archive”, you will still be able to Open it with a word processor [by default, it will open with your browser, so right-click on the file and choose “Open with” and then click your word processor] and edit it… it will just contain a whole bunch of junk-looking code, as well as the text you want.

Remember WordPerfect?*
I have mentioned to my readers before that I have been using Windows since the days when we looked forward to the release of Windows 95 (think “Jurassic period”). Recently I was reminiscing with a fellow tech enthusiast, who has been using computers since the very beginning of the PC, and who survived the early days of DOS (think “Triassic period”), and the name WordPerfect came up.
Wow. I haven’t heard that name in… a really long time.
Folks, I know this may be hard to believe, but there was a time before Microsoft Word and MS Office. Back then you composed your documents with WordStar, or more likely, the premier app — WordPerfect.
WordPerfect could do it all. If you had WP, you could actually do fantastic things like use italics and bold and (this was super neat) you could see a preview of what your document would actually print out like.
Before WordPerfect, you kind of had to guesstimate, as your screen used a generic font. (At least, that’s how I remember it…)
But eventually, Microsoft bundled its upstart new word processor – called simply “Word” – with Windows, and so new machines came with Word already installed — spelling doom for WordPerfect. Us techy-types then spent lots of time training people on Word and converting old WordPerfect documents into the Word format.
Sigh. Those were the ‘good old days’…
Anyway.. after our conversation, I decided to look up WordPerfect on Wikipedia to see what year it went extinct, and I was guessing it would be somewhere about 1992… I confess I was stunned by what I learned -WordPerfect is not dead.
What?
Yes, Corel’s office suite – featuring WordPerfect – is not only still around, but I read it has a loyal following. It’s current version is called WordPerfect Office X4, and it comes in a “Home and Student”, “Standard”, and “Professional” versions. I looked at their website and I must say I’m intrigued.
Surely it must have something “going on” for it to still be in the game, and I think it does, so I’m going to download the trial and play with it some. I’m curious about its PDF features and Open document formats…
